Expense Team Reports

Reports are a feature on MyExpenses which will let you report on various parts of the system.
Below is an explanation of each of the various user levels and the reports available within those levels.
To display the list of the reports click on the Reports button located on toolbar.
Within the report there is various options to export / save the report or you can just view this within the browser.
Clicking on the floppy disk icon will enable you to export / save the report in various formats.
Expense Team Reports
You will have access to your own user reports and also manager reports. Which show information for the claimants you authorise claims for. As an expense team user you also have access to Expense Team Reports, Utility Reports and Payment Reports.
Expense Team Reports
Claims Available for Payment - This report will show all claims that are available for payment, the claim ID, date, description and total claim amount is shown.
Claims by Cost Centre - View all Claims by cost centre, you can view information by date range and also a cost centre filter. Each cost centre has a drop down and displays the cost centre, date created, claim Id, claimant, current level of the claim and the total claim amount.
Expenditure By Cost Centre - View all claims created by cost centre. Information displayed is the claim ID, date, claimant, category, description and the total claim amount.
Top 100 Claims Value - This report will show the top 100 claims with the most value and this data is sorted by high to low claim value.
Analysis of Spend - View Analysis of Spend for all employees, you are able to view the date, claim ID, claimant, description and the total claim amount on this report.
Average Costs by Claimant - View the average costs of each of your claimants. This report will show the claim ID, claimant, claim category, description and the total claim amount.
Average Costs by Method of Travel - View a report for your claimants based on the method of travel. This report is to show information like additional travel, police diversions etc.
Claims Awaiting Authorisation - View a list of all claims that are still waiting to be authorised. A date filter is available to use on this report.
Cost Analysis of Site-to-Site Travel - View any details of any Site-to-Site travel from any of your claimants.
Mileage By Claimant - View mileage undertaken per claimant. The total mileage and the total claim amount are shown here.
Mileage By Claimant With Rates - View all of the mileage rates that your claimants claim under by claim ID. Vehicle category, VAT rate and the total mileage and mileage per line are also shown.
Mileage By Category - View mileage by the category this is claimed under, you can view the claimant name, claim ID, date, description and the total mileage over a date range that is selectable via the date from / to filters.
Mileage By Cost Centre - View mileage by cost centre showing the claim ID, date, claimant, category, description of claim, and the total mileage and claim amount.
Non-Receipted Expenditure - View all claims created by your claimants that do not have receipts attached to them.
Vehicle and Mileage - View mileage undertaken by vehicle for all of your claimants. The report will show the vehicle reg number, claim ID, date, category, description, mileage per claim line and total amount.
Vehicle Matrix by Registration - This report will show the vehicle registration, make and model and the number of users with this vehicle.
Vehicle Matrix by User - This will show the claimant who claims under you, their vehicle reg number and make / model and how many vehicles the user has.
Claims by VAT Rate - View all claims created under certain VAT rates, the report is split out by the VAT rate name and the claim ID, date, category, description, the total and VAT amounts and the total inc VAT are also shown.
Account Balance Summary - This report will show the imported card transactions for debit and credit card users and request advance forms.
Expense Details PSA Summary - View a report of all claims by category and PSA flag. You can filter in this report based on claimants and a date to / from field.
SLA Report - View the number of days that claims have taken to get paid so you can keep up to day with your SLA's. Information shown on this report is claim ID, claim type, date created, current status of claim, month the claim was submitted, the number of times the claim was submitted, the date the claim was approved, how many days it took to approve, the date it was approved by the finance team and the the days it was awaiting with the finance team.
Expense Categories - This is a report that will show all of the expense categories that have been created on the system, showing their claim limits / age limits, VAT and account codes.
Project Mapping - This report will show projects that are not mapped to cost centres.
Inbound Interface Logs - View all details of inbound interface logs. Select a value from the Import File dropdown list and then select a status to show either information or errors logs.
Employee List - View a report of all users in the system, the authorisation limit of those users and whether or not they have draft/manager access levels assigned to those users.
Manager List - This report will show a list of all users and who their authorising manager is. It will also show authorisation limits, organisation and department.
Mileage Rates - View a report of all of the mileage rates within the system, what their VAT rates are, the policy they are grouped under and the date ranges they run to / from.
Advanced Workflow - This report will show a list of the current advanced workflow rules in the system. The conditions and actions will be displayed on this report and the values it is looking at.
Credit Card Imports - This report shows all of the credit card imports on the system. The status and imported statement filters can be used to search specific information.
Batch Payments by Values - View values for all completed batch payments on the system. Show batch name, the date the batch was submitted on, claimants who were included on the batch, claim categories, descriptions and the total reclaim amount.
Batch Payments by VAT - This report shows all batch payments but gives the nett, reclaim amount and the VAT.
Batch Payments - This report will show all of the completed batch payments.
Card Import Statements - This report will show a list of all imported card transactions for debit or credit cards.
Credit Card Not Reconciled Shows a list of all unreconciled items per user on the system.
Credit Card Reconciled but Not Paid - This shows a list of all the reconciled but not paid credit card transactions.
Personal Credit Card Transactions - View a list of all credit card transactions marked as personal.
